Individual pension scheme members’ records are administered by a contracting pensions bureau and retained for up to forty years, but the scheme’s legal and accounting records, trust deeds, rules and minutes of meetings are archived by MSR Eurostore at their Portland archive.
Lorraine Palmer is Alcan’s Pensions Co-ordinator at the company’s U.K. Pensions Centre. Lorraine explained: “Although we could scan all documents into the company’s electronic document management system, it is difficult to justify the amount of staff time this would involve when documents only need to
be retrieved on a relatively small number
of occasions”.
“Our legal and actuarial documents are retained for at least ten years and investment and financial records for a minimum of six years. Our own internal storage capacity for old documents consists of four double-width four drawer cabinets. When these are full, or following an audit, we carry out a bulk purge and arrange removal to the MSR Eurostore archive”.
“Our old documents are indexed by file, but not by individual record, so we normally request a complete file to be returned”.
